INTRODUCTION

1.0     INTRODUCTION

Matriculation is the formal process of entering a university, or of becoming eligible to enter by fulfilling certain academic requirements such as a matriculation examination. Matriculation is the official process of joining an educational institution usually a university. This process is usually carried out if the candidate is qualified for a program. In some cases, an academic prerequisite such as a matriculation examination has to be met before matriculation can take place.

Student matriculation number is a unique identification and authentication number assigned to every student upon first enrollment in an institution. This unique matriculation number assists research and educational institutions to monitor, track, organize and transfer student records efficiently, effectively and reliably. It is also regarded as the student registration number. The matriculation number is a unique identifier or a code that uniquely identifies a particular person admitted into a group, particularly a school or an educational institution. Student matriculation number is a unique identification and authentication number assigned to every student upon first enrollment into an institution.

This number helps in identifying a student and it is the code that appears on the Identification (ID) card of the student. This code is made up of a combination of both numbers and alphabets and they inherently carry metadata along with them. Metadata are data that provide information about one or more aspects of data. They summarize basic information about data and it makes tracking and working with specific data a lot easier. For Example, DSPT/HND/COM/1920/24312; in this example, the unique number is 24312 and the metadata are DSPT, HND, COM and 1920. This means the number 24312 is issued by the Delta State Polytechnic, Otefe (DSPT), the bearer is studying for a Higher National Diploma (HND) in the department of Computer Science and the year the number was issued is 2019/2020 academic session.

Adju (2018) stated that in this modern age, computers have verified the cause of their existence. The advent of computers in our society caused a lot of criticism on the danger it poses on the society. Critics of computer and new techniques express their fear on how computers will displace and replace all human skills thus resulting to mass unemployment. The presence of computer on virtually every field of today’s fast life has proved the critic wrong as the invention of computers and new technologies continues to create additional jobs for those who identify themselves with computers and new technologies. This make computes partner to human beings in any fields of human endeavour.

Steil (2015) asserted that over the past decades, students identification and verification has been a major problem in large institutions as documents, certificate and studentship can be forged at a great rate and easy way, using the computer negatively. Forgers fail to know that in this fast moving world, the computer has equally served as an aid to decision making, verification and authentication. This is because of computers efficiency in terms of speed, accuracy, reliability, cost and security among others. In recent years, awareness has existed and created in people as it concerned the use of computer in verifying, authenticating and security activities either through web-based (internet) or window-based.

Student Registration Number system is a web based application which are generally small or medium in size. It is used by school management to create and manage the student registration number using a computerized system where he/she can create registration number for the Student, create a report of all the registration number of the student to each of their department and faculties, Storing the registration details for reference purpose. With this computerized system there will be no loss of record or member record which generally happens when a non computerized system is used. If user’s position is admin, the user is able to create and maintain all the registration number details. All these modules are able to help the Registrar to manage the registration information with more convenience and in a more efficient way as compared to Registration number systems which are not computerized.

 

 

1.1     BACKGROUND OF THE STUDY

In Australia, the term “matriculation” is seldom used now. In the late 1960s and early 1970s, all states replaced the matriculation examination with either a certificate, such as the Higher School Certificate in Victoria and NSW, or a university entrance exam such as the Tertiary Entrance Exam in Western Australia. These have all been renamed as a state-based certificate, such as the Victorian Certificate of Education  or the Western Australian Certificate of Education.

By August 1988, the Federal Executive Council amended decree No. 2 of 1978 to empower the Board to conduct matriculation examinations for entry into all polytechnics and colleges of education in the country and to place suitably qualified candidates in the available places in these institutions. The amendments have since been codified into decree No. 33 of 1989, which took effect from 7th December, 1989.

Student identification is the unique number assigned to all full-time and part-time students at a post-secondary institution. All students receive an identification card, with their name, ID number and a photo of themselves displayed. This ID is randomly generated upon applying to the university or college.

Student identification refers to the random identifier associated with a student’s academic record. It will not transfer with students should they switch institutions. This number helps institutions track, monitor and organize student records more efficiently. This identifier will often be used in place of personal information such as name.

The Government of Delta State reached an understanding with the University of Westminster, London to assist in management and technical support for the institutions. This brought about the establishment of the Delta State Polytechnic, Otefe-Oghara, which was established on 12 November 2002 at the Ethiope West Local Government Area. The Otefe-Oghara polytechnic has schools that offer National Diplomas in Business Studies (Accountancy, Banking and Finance and Business Administration, Office Technology and management and Mass Communication), Applied Sciences and Technology (Computer Science, Science laboratory technology and Statistics), and Engineering (Computer Engineering, Electronic and Electrical Engineering and Mechanical Engineering, Welding and fabrication).

It also has a School of Preliminary Studies that introduces all students to Business Studies and Science Technology. According to the National Board of Technical Education (NBTE, 2018), the Delta State Polytechnic, Otefe, Delta State was ranked the 20th best polytechnic in Nigeria with percentage score of 53.85%, Delta State Polytechnic, Ogwashi-Uku, Delta State was ranked as the 29th with pass score of 51.54% (Wikipedia.org).

 

 

1.2     STATEMENT OF PROBLEM

In the Delta State Polytechnic, students matriculation number is the major means of identification of students within and outside the polytechnic campus. Also, matriculation number is also one of the major criteria of student ID card issuance in the polytechnic. However, the process of obtaining the matriculation number can be sometimes frustrating as many students are often found in long queuing and waiting lines at the admission office or at the Polytechnic ICT for the sake of obtaining their matriculation number. Many complain that ones their matriculation number is forgotten or the documents where they documented it is lost, retrieving it implies that that they have to join such waiting line again to obtain the matriculation number. The time being consumed in this process has become an issue of concern to both the students and the staff. Therefore this study proposes an automatic matric number generation to help eliminate the problems of the existing system.

1.3     AIM AND OBJECTIVES

The aim of this study is to design and implement a computerized student registration number system.

The objectives are as follows:

  1. To resolve issues associated with manual students’ registration number.
  2. To provide a platform for students to easily retrieve lost or forgotten matric or registration number.
  3. To provide a platform where both staff of departments, faculties and admissions’ office to keep track of the number of students currently admitted or have been admitted into a particular department over time.

1.4     SCOPE OF THE STUDY

This study is focused on designing and implementing the computerized matriculation registration number generation in the Delta State Polytechnic, Otefe-Oghara

1.5     SIGNIFICANCE OF THE STUDY

This project work “the design and implementation of an automated matric registration number system will be of great significance to academic institutions in the sense that it will help in overcoming the problems of manual operations. It is hoped that the result of this study will serve as tools for helping students to get registered into the school, and will go a long way helping the staff and the management also.  This is easy to achieve since standard and tested computer programs handle all sort of complex calculations, storage, and retrieval.

1.6     LIMITATION OF THE STUDY

Power supply: Non-availability of stable and reliable power supply is also a source of limitation to this project as it depends only one source of energy to keep functioning.

Cost: cost is one of the limitations of this research work were it requires a huge amount of money to put up this system with such functions, and the resources that it requires in order to run effectively

1.7     DEFINITION OF TERMS

COMPUTERIZED: This is the use of computer systems in automating process in any field or discipline.

ONLINE REGISTRATION: An online registration system eliminates the need of filling paper forms manually and sending them to a registration office.

WEBSITE: A website is a collection of web pages and related content that is identified by a common domain name and published on at least one web server.

ONLINE: An online is a condition of connected to a network of computers of other devices. The term is frequently used to describe someone who is currently connected to the internet.

INTERNET: this is a global connection of computer network co-operating with each other to exchange data using common software standard protocols

DATA: These are raw fact that to proposed into meaningful information

MANUAL SYSTEM: Any system that does not involve the use of electronic computer.

DATABASE: A systematized collection of data that can be access immediately and manipulated by a data processing system for a specific purpose
